EventManager Overview

EventManager is an online event management and reporting engine. It has been designed to easily access and manage event data, reports, programs, documents, inventory, multimedia, and users. EventManager was built to give our clients the most control over their engine's functionality and features. Here are a few examples of what our clients can control within EventManager: add/edit other users, their own clients, upload client logos, reports, add/delete/edit report questions, add/edit programs and tours. It has been built on cloud computing platforms, which allows EventManager to scale to accommodate any number of users, clients, events, etc. This also allows us to pass on cloud pricing.

EventManager Features

API Integation

  • EventManager has been integrated with popular web API's like AddThis, Google Analytics, Google Maps, YouTube, and others.
  • We are constantly evaluating new web services to add to EventManager.
  • Additional API support can be added by request.

Calendar

  • The event calendar can be displayed as a list and/or 30-day calendar on the dashboard. A full-size 30-day calendar is linked to the event listings from the dashboard. Events are listed per day.
  • Events can be added from calendar view.

Customization

  • The EventManager engine was built to be customized or skinned. Event dashboards can be skinned at an agency-level as well as per login or user. This means an agency’s dashboard can differ from their clients’.
  • We can work with your creative to build your custom dashboards, or we work with you to develop your custom dashboard based on your agency and client needs.
  • Clients also have access to EventManager's CSS stylesheets and can provide their own CSS style sheets to further customize their dashboard and page designs.
  • Style sheets can be customized per EventManager user, client, or brand.

Dashboard

  • The dashboard is the heart of the EventManager engine. No one dashboard fits all clients or agencies. Dashboards are customized to deliver easy access to information, multimedia, and reports based on agency requirements.

Data Backup

  • Daily backups (includes data and multimedia) are conducted to safeguard your data.

Document Management

  • Documents can be uploaded and assigned to teams, user types, clients, etc.
  • EventManager will accept most popular files types: .PDF, .XLS, .DOC, .PPT, and more.

Filters

  • Filters are in place to help you navigate through large amounts of event data.
  • EventManager will accept most popular files types: .PDF, .XLS, .DOC, .PPT, and more.
  • Google Analytics

    • EventManager has been integrated with Google Analytics. We can keep all of your event marketing data under one roof.
    • Track results from your event microsite, photo activation, or data capture program.
    • Ability to add your existing Google Analytics account, or you can also use our's.
  • Google Maps

    • Maps powered by Google Maps can be added to the dashboard, program, or event details.
    • EventManager provides information like Drive Time and Distance Between Events.
    • EventManager also tracks the total number of miles driven for a given tour or program.

    Hosting

    • The EventManager engine is hosted on a Vein server. The login page can be hosted on any website.
    • Included in the monthly cost.

    Importing Event Schedules

    • Import your existing schedules into EventManager.
    • EventManager will populate events based on your spreadsheet data.

    Login Screen

    • Your login screen can link to a form or page on your existing website or to any domain name.
    • Customized based on client requirements.

    Multi-day Events

    • EventManager will populate multi-day events, so you only need to enter your event information once.
    • Save time by not entering duplicate information.

    Multimedia

    • Upload and manage photos and videos from your event.
    • Assign user access levels for your media to keep internal assets separate from client media.
    • Unlimited storage for your photos and videos.
    • EventManager supports the following video formats: .AVI, .MKV, .MOV, .MP4, DivX, .FLV, and .OGG and .OGV
    • Add captions to your media.
    • Easily access your multimedia from your dashboard or menu.

    Reports

    • Event-level and Program-level reporting.
    • Reports can be customized per program.
    • Questions can be added, deleted, and modified by agency. Vein Systems only needs to be involved in your custom reports when adding new logic or making database changes.
    • EventManager can render charts to enhance reports.
    • Reports can be downloaded in Excel and Adobe Acrobat formats.

    Search

    • Search for the information you need from your dashboard.
    • The search engine accepts event details like name, contacts, address, etc. as well as keywords and tags that may have been assigned to your event data.

    Setup

    • Setup for EventManager can take 4-8 weeks depending on the level of customization required.

    Support

    • We provide both phone and email support.
    • When requested, forgotten passwords are emailed automatically to the email address on file.

    Upgrades

    • Upgrades are pushed out to engine automatically.

    User Management

    • Unlimited users and clients.
    • Agencies can add, delete, and modify users as needed without involving Vein Systems.
    • Vein Systems has developed default user rights for field staff, clients, and internal agency staff. Agencies can customize their user rights to fit their needs.

    Wiki

    • A Wiki is automatically created for each event.
    • Use your events as a knowledge base.

    WYSIWYG

    • Our forms and reports use "What You See Is What You Get" formatting. Your users do not need to know HTML in order to format their text.
